Job Description: Client Relations Coordinator

Job Title:                             Client Relations Coordinator
Department:                         Licensing and Hire Department
Reports To:                         Manager of Client Relations

Purpose of the Position

The position is full time and is responsible for processing various licence agreements for educational and community organisations, assisting with dispatching of materials, processing perusal requests, assisting with various marketing tasks including the coordination of the email blast schedule and co-maintenance of website data and blog management. This position also includes general administrative tasks as they arise.

Nature of Work and Position Links

The position focuses on those elements of the theatrical and classical library operation which are process-based. The key focus of the position will be dealing with the day-to-day administration of licences and perusal material. Thus a key objective is to develop a strong working relationship with the warehouse staff, operations department and the other Licensing & Hire staff.

Specific Accountabilities / Deliverables

These include the following, and other duties may be assigned:

•   Processing perusal request orders.
•   Assisting with dispatch management, including the preparation of bookings with hire agreements, invoicing and picking/checking stock for shipping where applicable.
•   Preparation of concert extract hire materials
•   Email and phone customer service
•   The issuing of agreements that include, but are not limited to:
     o  Musical Licensing
     o  Junior Musical Licensing
     o  Play Licensing
     o  Grand Rights Opera/Choral Licensing
     o  Classical Hire Agreements
•   Regular processing of payments and received agreements
•   Coordination of email blast schedule and preparation of select email blasts.
•   Assistance in preparing various marketing collateral.
•   Website data maintenance including blogging.

Qualifications

To perform this job successfully, an individual must be able to perform in each “specific accountability” area satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:

Undergraduate degree or equivalent or two to five years experience and/or training; or equivalent.

Language Skills:

Ability to communicate in verbal and written communication common to the business community. Ability to effectively present information to management.

Reasoning Ability:

Ability to define problems, collect data, establish facts, deal with abstract and concrete variables and draw valid conclusions.

Knowledge of Music:

Basic understanding and appreciation of various styles of music and the ability to read music notation.

Working Conditions

Location:

The position will be based at our offices at 4 Lentara Court, Cheltenham, VIC., 3192

Working Hours:

The normal working hours are 9:00AM to 5:00PM on weekdays. However, additional time may be required at peak periods, subject to agreement with your Manager.

Physical Demands:

A reasonably high degree of physical fitness will be required to cope with the demands of the position, which includes activities in the Distribution Centre.
